Configuring Online Booking

You can choose whether to enable or disable online booking for your Patients and indicate whether you want to allow new Patients to book services at your clinic.

Configuration for Online Booking in the Web Portal

  1. Click on the Gear icon (top right header).
  2. Select Web Portal & App from the dropdown menu.
  3. Scroll to Features and turn Online Booking on or off.

Important note: You can adjust additional Online Booking settings by scrolling down to the Online Booking section once in the Web Portal & App menu.

Online Booking Increments

Online Booking Increments allow you to define the time intervals at which appointments can be booked through the Web Portal & App. This helps in managing your schedule effectively. We recommend you use the most popular service duration + recovery or the shortest service duration + recovery time. For example, you would set the online booking increment to 75 minutes for a 60-minute treatment + 15-minute recovery time. To set up Online Booking Increments, follow these steps:

  1. Click on the Gear icon (top right header).
  2. Select Web Portal & App from the dropdown menu.
  3. Scroll down to the Online Booking section.
  4. Locate Online Booking Increments.
  5. Click on the Dropdown menu.
  6. Select the desired Increment.
  7. Click Save at the bottom of the page.

Important note: When no times are available in your calendar for online booking, you can customize a message to your Patients under the "No Bookable Time Message." A sample message is provided; however, you can customize it to suit your clinic.

Online Booking Agreement Policy

You can set up an Online Booking Agreement Policy to ensure Patients acknowledge and agree to specific terms and conditions before booking appointments through the Web Portal & App. You will need to create an Agreement first, and it cannot require a signature to be eligible as an online booking agreement.

  1. Click on the Gear icon (top right header).
  2. Select Web Portal & App from the dropdown menu.
  3. Scroll down to the Online Booking section.
  4. Locate Online Booking Agreement Policy.
  5. Click on the Dropdown menu.
  6. Select the desired Agreement.
  7. Click Save at the bottom of the page.

Important Note: If you don't see a Dropdown menu, you do not have an Agreement made and need to create one.

Online Booking Payment Policy

You can set up an Online Booking Payment Policy if you require upfront payment for appointments booked through the Web Portal & App. You are required to be connected to Square or Bambora/Worldline payment processor in Noterro. There are four payment options. No credit card is required to book an appointment. A credit is required to book an appointment. A deposit is required to book an appointment. Full payment is required to book an appointment. This ensures Patients know the payment terms before confirming their appointments. To configure the Online Booking Payment Policy, follow these steps:

  5. Click on the Dropdown menu.
