Refunding an Appointment Deposit

When running and operating your clinic using Noterro, you may need to refund a deposit when a Patient cancels their appointment ahead of time without breaching the cancellation policy. Here are the steps to process that refund using Square or Bambora.

Refund In Square

  1. Log in to your Square Account.
  2. Select the payment you want to refund.
  3. Select Issue Refund.
  4. If it's a Debit transaction done on the Square Terminal, you will be prompted to Insert the Debit card.

Refund In Bambora

  1. Retrieve the Bambora Transaction ID (example, 1000026) from your Noterro Invoice. When you log into your Bambora account, you will need this number to issue a refund.
  2. Log in to your Bambora account.
  3. Under the Reports Analysis heading, select Transaction Search.
  4. Enter the Bambora Transaction ID you retrieved from your Noterro account.
  5. Click Search at the bottom of the page.
  6. Click on the Transaction ID.
  7. Click Return Transaction.
  8. Click Process.

Important Note: It’s a good idea to add a note to your invoice so you remember the reason for the refund. For example, if the refunded payment is due to a legitimate or early appointment cancellation and may not actually go against your clinic’s cancellation policy.
